2026 Exhibitors : Terms & Conditions

PAYMENT OPTIONS

Sponsorship payments can be made by ACH, by check, or by credit card. Sponsorships purchased through www.RoofCON.com must be paid by credit card in full at the time of purchase. For sponsorships to be paid by ACH or check, contact [email protected] with your booth and sponsorship request. An invoice will be sent to the provided email within 24 business hours of your request. Payment is due within 7 days of receiving the invoice. Booth numbers will not be reserved until payment is complete.

REFUND POLICY

RoofCON does not offer ticket or sponsorship refunds. If a sponsor is unable to attend RoofCON 2026, the sponsorship may be rolled over to RoofCON 2027 at the discretion of the management.

CHECK-IN AND INSTALLATION OF EXHIBITS

Hours for exhibit setup are Monday, January 5, 2026, from 8:00 AM to 6:00 PM. Unclaimed space by the end of the installation window and/or space not paid for in full is subject to reassignment without any refund of amounts previously paid. RoofCON reserves the right to change the setup hours and will notify sponsors as early as possible of any changes.

DISMANTLING OF EXHIBITS

Exhibitors agree not to dismantle or pack exhibit materials before the official closing of the last exhibit day, as specified in the Sponsor Prospectus (or as amended by RoofCON). Early teardown will result in a $1,000 penalty. Exhibitors must remove their exhibits and all materials by  Wednesday, January 7, 2026, at 8:00 PM.

EXHIBIT BOOTH ASSIGNMENT

RoofCON will make reasonable efforts to assign sponsors a booth in a preferred location and away from designated competitors. If a booth location is not chosen within two weeks of signing up, RoofCON reserves the right to assign one. RoofCON may alter location assignments as needed for any reason. Continuing participants from past exhibitions will have preferential assignment in cases of conflicting requests. Confirmation of booth assignments or any changes will be provided in writing by RoofCON.

AUTHORIZED PERSONNEL

Only registered and approved sponsor personnel are permitted at the exhibition. Unauthorized individuals will not be allowed to solicit business in any form. RoofCON will provide a set number of registration badges as per the Sponsor Prospectus for booth size. All personnel must register and display badges prominently. Badges are non-transferable and may be confiscated if worn by unauthorized personnel. Only authorized badge holders may access the Expo Floor up to two hours before opening each day. Additional registrations are available for purchase.

EXHIBITS SUBJECT TO APPROVAL

RoofCON may require modifications or removal of exhibits or sponsor personnel for reasons including, but not limited to, suitability or safety concerns. Sponsors agree to bear any costs associated with these modifications and understand that fees paid are non-refundable.

LAWS, RULES, AND REGULATIONS

Sponsors must comply with all relevant local, state, and federal laws, as well as regulations specified by RoofCON, event partners, or facility operators. This includes, but is not limited to, fire and safety codes and the Americans with Disabilities Act.

BOOTH SPECIFICATIONS

Each booth will include:

One 6-foot draped table (black)

Two chairs

One wastebasket

Carpeting and additional furniture must be ordered through the designated vendor.

EXHIBIT DEADLINES

Signage Deadline: Signage requests and materials must be submitted by December 6, 2025. Late submissions incur a $500 fee.

Breakout Session Requirements:Title submission is due by November 24, 2025.Presenters must arrive 15 minutes before their session begins.Missing a session results in a $1,000 fee.

SHIPMENTS

RoofCON will not accept shipments on behalf of exhibitors. All shipments must be coordinated with the designated shipping partner.

RIGGING AND GUIDELINES

All suspended signs and rigging must meet the provided safety guidelines. Contact [email protected] for assistance.

SECURITY AND LIABILITY

RoofCON provides limited guard service but is not responsible for the safety of exhibitors' property or personnel. Exhibitors should maintain adequate insurance to cover potential incidents.

MISCELLANEOUS

Sponsors must acknowledge and agree to the full terms before participating. Changes to terms or policies will be communicated as needed.
